AI integration
You do not need to replace your systems to use AI. We add it as a single feature inside the software your team already knows: a “Read this invoice” button, a search box that understands the question, an inbox that sorts itself.

- Checks beyond the model
- Search that understands
Our approach
AI as a feature, not another system
Most companies do not need a new AI platform. They need one specific step in their day to stop being done by hand. The accountant retypes figures from scanned invoices. The sales rep hunts through thousands of catalogue items for a code nobody remembers. Someone in the office reads every incoming email just to decide who it should go to.
AI integration deals with exactly those steps. We take the software you already run — an ERP, a CRM, an online store, an internal portal — and add a feature to it that uses a language model or a recognition model. Nobody has to learn a new tool. They see a new button, a smarter field or a better-sorted work queue.
The difference from AI agents is who takes the initiative. An integrated feature does one thing when a user asks for it: reads the document, suggests the category, finds the part. An agent watches the inbox or the database on its own and acts. We often start with integration because it is easier to verify and quickly shows what your data can do; an agent can come later, on top of the same connections.
Benefits
What you get
No system replacement
The feature appears inside the software your team already uses every day.
Documents become data
Invoices, delivery notes and reports are read and the fields filled in for you.
Checks beyond the model
Totals, VAT numbers and dates are verified by rules; anything doubtful goes to a person.
Search that understands
Your catalogue and knowledge base grasp the question, even without the exact code or word.
A trial before committing
We run the solution on your own documents and show you the results field by field.
Processed in the EU
Your data is not used for model training and can stay in a European region.
The jobs we are asked to solve most
None of this is hypothetical. These are the requests that retail, manufacturing and service businesses bring to us most often:
- Reading invoices, consignment notes and delivery reports: supplier, VAT number, date, line items, totals and VAT are extracted and filled in, and a person just checks them.
- Classifying documents and email: incoming mail is sorted by type — order, complaint, enquiry, invoice — and lands with the right person.
- Search by meaning in a catalogue or knowledge base: “rubber seal for a pump, about 40 mm” finds the right part without the exact code.
- Product descriptions for an online store, written from the supplier's technical data in Bulgarian and other languages, reviewed before they go live.
- Summaries of long documents — contracts, tender files, meeting minutes — with references back to the original.
- A voice assistant for situations where people's hands are busy: in the warehouse, on the production line, in the van.
How it fits in technically
The AI part almost always sits behind a separate service rather than inside your core system. That service takes a document or a question, calls the model — Gemini on Vertex AI, a dedicated document-recognition model or something else, depending on the job — and returns a structured result. Your core system receives clean data over an API, exactly as if a person had keyed it in. If you later want to change model or provider, the change happens in one place.
For documents we add checks that do not depend on the model at all. Line items must add up to the total. The VAT number is checked against the register. The date cannot be in the future. Anything that fails goes to manual review instead of slipping quietly into the books. Each field also carries a confidence score, so the reviewer looks only at the doubtful spots rather than reading the whole document.
How the work goes
We start with a trial on your real data. If the job is invoice reading, we ask for a hundred or so invoices from different suppliers, including the badly scanned ones and the odd formats. We run them through and show you the result field by field: where it is right, where it slips and why. You have something solid to decide on before paying for a full rollout.
After the trial we build the feature into your system, add a screen for review and approval, and train the people who will use it. For the first few weeks we watch every correction they make and tune the solution accordingly. If the system is one we built, this goes faster. If it is someone else's, we work through its APIs or an import it already supports.
Data, privacy and running costs
Invoices and contracts carry sensitive information. We use services where your data is not used to train the model, processing can stay in an EU region and documents are not kept longer than needed. If your requirements are stricter, we can discuss a model that runs on your own server.
Model costs are charged per document or request, and are usually small next to the time saved. We estimate them up front from your actual volumes, and the admin panel shows what has been used each month.
After rollout
A new supplier with an unfamiliar invoice layout, a new kind of email, a new product range — it all happens. Support covers watching the share of manual corrections, adding new formats and checking quality whenever the model changes. If corrections start creeping up, we notice before you do.
Once one feature runs reliably, the next one usually costs less, because the connection to your system, the review screen and the checks are already in place. That is why many clients start with invoices and add email sorting or catalogue search a few months later.
The process
How the work goes
Five steps, each with a result you see and approve before we move on.
One specific step
We agree which manual task we are replacing and how we will know it works.
Trial on your data
We process a real sample and show you the accuracy field by field.
Build it in
The feature and its review screen go into your system, via API or import.
Training and tuning
Your staff start using it and we tune it against their corrections.
Monitoring
We track manual corrections, new formats and model costs.

Questions
Frequently asked questions
Do we have to change the software we use?
No. We work through your system's APIs or through an import it already supports. If it is a closed system with neither, we will tell you so in the first conversation.
How accurate is the invoice reading?
That depends on your documents: scan quality, how many layouts there are, the language. So we begin with a trial on a sample of yours and show you the result field by field, rather than promising a number in advance.
How is the price worked out?
There is a one-off part for building in the feature and its checks, and a running cost for the model charged per document or request. We put both in writing before we start, based on your real volumes.
Is our data protected?
We use services where your data is not used to train the model and can be processed in an EU region. Documents are not kept longer than needed, and if your requirements are stricter we can look at a model on your own server.
What happens when a new document format turns up?
The solution flags it for manual review instead of guessing. As part of support we add the new format, test it and keep an eye on the correction rate so we catch any drop in quality early.
Which manual step weighs on you most?
Send us a few sample documents or describe the task. We will tell you how we would solve it and what the trial would cost.
